News Group Manhattan and DC-based Commuting Policy

All rides and reimbursements are subject to audit.  

Employees whose shifts require them to leave or arrive at work on or between 12AM – 6AM.

  • Company will reimburse up to a $20/day for taxis or $270/month for parking
  • This expense must be paid with cash or personal credit cards & submitted through Concur for reimbursement
  • When creating an expense report in Concur, choose overtime transportation under expense type, for overtime type select overnight parking subsidy or overnight taxi subsidy
  • All expenses require receipts, which must be retained for at least 3 months in the likely event of a corporate audit
  • Per IRS rules, the parking subsidy is a tax-free benefit to employees. However, the taxi subsidy is considered taxable compensation to the employee, but NBCU will cover these taxes on behalf of the employee.
  • Black car use is not permitted for regularly scheduled shifts

Employees working an irregular shift and/or overtime during 9PM – 6AM due to special events or breaking news.

  • Employees are permitted to take a taxi or a black car home or to work with manager approval
  • All black car reservations must be made through NBCU Ride x4-7433
  • NBCU will cover 100% of the costs for these types of rides
  • All employee rides are subject to manager review & back end audit
  • Additional stops and wait time are not permitted per company policy

All rides that do not adhere to this policy are considered additional income and subject to taxes for each employee

  • Employees will be taxed on every ride that does not adhere to this policy, starting with the first ride
  • Noncompliant rides will be sent to HR and employee managers for review
  • Any incremental taxes due to black car or taxi use will be removed from employee paychecks on a quarterly basis
  • This policy covers Manhattan-based employees
